They are not interchangeable. They are priced differently, structured differently, and built for different operators. This comparison covers what each one does, what each one really costs at three portfolio sizes, and how to tell which fits the way you work.

Accounting and reporting

AppFolio

A deep accounting suite aimed at operations with a dedicated finance function: payables, receivables, invoicing, a late fee engine, and the reporting depth a regional portfolio needs. It rewards an operator who has someone whose job includes the software.

Buildium

A well-rounded accounting module covering the standard property-management set. The thing to check on your quote is which reports and which capabilities sit behind the tier you're buying, Buildium's plan structure decides a good deal of what you actually get.

Renter Insight

Native double-entry accounting with financial reports, QuickBooks integration, bill tracking and check printing, all in the plan, not sold as an accounting tier. Bank connections and 1099 filing are available as fee-based services rather than bundled, so you only pay for them if you use them. The design goal is different from AppFolio's: a bookkeeper should be able to reconcile a property the same afternoon they get the login. Loan tracking sits on the lease record too, which matters more than it sounds if you carry notes on homes.

Rent collection and payments

All three collect rent online with card and ACH, support resident autopay, and automate late fees. Differences worth asking about: which payment types are available and what are the fees, how quickly funds settle, and what happens when a resident cannot use a bank account at all.  Renter Insight offers flat fees for Debit Card, ACH & CashPay.

That last one is where Renter Insight differs materially. CashPay lets a resident pay in cash and still produces a ledger entry, no money order, no manual posting, no gap in the record. If any meaningful share of your residents pay cash, this is the difference between a real ledger and a reconstruction exercise. 

Leasing, applications and screening

Every platform here will list a unit, take an application and run a screening. The practical question is how many systems the process touches.

  • Price increases and added fees. Reviewers describe rate rises and transaction charges while live support options were reduced.
  • Rigid reporting and ledgers. Several experienced managers find the reporting less flexible than Yardi or Rent Manager.

Buildium: the recurring themes

  • Support quality slipping. Reviewers report weeks of automated replies on payment setup, and long calls to get a straight answer.
  • Accounting and QuickBooks friction. A common note is that the accounting side is harder than expected and the QuickBooks connection is not what users assumed.
  • Tiers, add-ons and template limits. Owner reports are hard to customise beyond the built-in templates, and capability depends on which tier you bought.
  • Resident payment fees. Some reviewers report per-transaction charges to residents far above what they were used to.

What to do with that

Notice that almost none of it is about features. It is about reachability, billing surprises, and the accounting connection breaking. Those are the three things worth testing in a demo.

AppFolio makes most sense for an operator with a large residential, commercial or association portfolio and a team that includes someone dedicated to the platform. The monthly minimum stops mattering at that size and the depth starts paying for itself.

Buildium is a reasonable generalist for a residential portfolio, provided you check carefully which capabilities sit in the tier you're quoted and price the add-ons you'll actually use.

Renter Insight makes sense if you want the whole capability set included rather than tiered, you don't want a term agreement or a monthly minimum, you want unlimited users, you'd like to reach a person by phone, or you manage manufactured housing alongside conventional rentals.
